Privacy Policy

How TRAIDE LIMITED (trading as TRAIDE) collects, uses, and protects personal information when you use the TRAIDE Assessment. This policy should be read alongside our Terms of Service.

Short version: we collect the minimum needed to run your assessment, share it with a small number of vetted AI-service providers, keep it no longer than necessary, and never sell it.

01Who is the data controller

TRAIDE LIMITED (Company No. 16815855), trading as TRAIDE and incorporated in England and Wales, is the data controller for personal information collected through traide.us and during delivery of the TRAIDE Assessment. 02What we collect

We only collect information that is necessary to deliver the Service, follow up with you, and comply with our legal obligations. Specifically:

  • Contact details — your name, business name, email address, phone number, and any other information you enter into our intake form.
  • Voice call recording and transcript — our AI intake specialist records your discovery call, and our voice provider generates a transcript used to produce your report.
  • Business information you share — team size, tools in use, pain points, revenue ranges, and anything else you mention during intake or over email.
  • Consultation notes — notes taken by a TRAIDE team member during the 30-minute walkthrough call.
  • Website analytics — aggregated, non-identifying usage data (pages viewed, approximate country, referrer) via Plausible Analytics, which does not use cookies or track individuals.
  • Email correspondence — messages you send to our team, including their contents and any attachments.

We do not collect payment card details on our own systems. If paid pricing resumes, payments will be handled by a PCI DSS-compliant payment processor and routed directly to their infrastructure.

03Why we collect it and our legal bases

Under UK GDPR we must have a lawful basis for processing your personal data. Our bases are:

  • Contract / pre-contractual steps. To deliver the Service you requested — running the AI intake call, producing your report, scheduling and conducting the consultation.
  • Legitimate interests. To improve the Service, to maintain anonymised benchmarks, to protect TRAIDE against misuse, and to contact you about engagements you have already started.
  • Consent. Where you opt in to marketing communications, to the use of a testimonial, or to the use of your business as a named case study. You can withdraw consent at any time.
  • Legal obligation. To comply with tax, accounting, and other legal requirements.

04How we use AI with your data

TRAIDE is an AI-assisted service. You should understand exactly where your data goes:

  • Your intake call is conducted by an AI voice agent hosted by our voice provider. The call is recorded and transcribed. Both recording and transcript sit in that provider's infrastructure.
  • Your transcript is analysed using large language models to surface pain points, classify them, and research candidate recommendations.
  • A draft report is generated using automated tooling and reviewed by a human member of the TRAIDE team before it is sent to you. Nothing is sent without human review.

We do not use your data to train publicly available AI models. Our sub-processors contractually agree not to use your data to train their foundation models in ways that persist your information. A small number of our sub-processors retain data for short periods (typically up to 30 days) for abuse detection; where relevant we have linked their policies below.

05Who we share data with (sub-processors)

We share the minimum data necessary with a small set of trusted third-party service providers who act as our sub-processors. Each is bound by a written agreement and appropriate data-transfer safeguards.

  • GoHighLevel (LeadConnector HQ) — hosts our intake form and CRM. Receives form submissions and subsequent communications. Policy.
  • Retell AI — provides the conversational AI voice agent that conducts your discovery call. Receives the call audio and generates the transcript. Policy.
  • Gamma — generates the draft visual report from structured inputs produced by our pipeline. Policy.
  • Calendly — handles consultation-call scheduling. Policy.
  • Plausible Analytics — privacy-respecting, cookie-free website analytics. Hosted in the EU. Policy.
  • Google Workspace — hosts our business email and internal documents. Policy.

We will update this list when sub-processors are added or replaced. If you want a list of sub-processors at a specific point in time, email us.

06International transfers

Most of our sub-processors are based in the United States. When we transfer your personal data outside the United Kingdom or the European Economic Area, we rely on a lawful transfer mechanism — in most cases the UK Addendum to the EU Standard Contractual Clauses or an equivalent adequacy decision. Copies of the relevant safeguards are available on request.

07How long we keep your data

We retain personal data for the periods described below.

  • Call recordings and raw transcripts — deleted no later than 90 days after the report is delivered.
  • Final report and structured assessment data — retained for up to three (3) years from the date of delivery for case-study, benchmarking, and follow-up purposes. You can request earlier deletion at any time.
  • Contact details and correspondence — retained while there is an active relationship and for a reasonable period afterwards, then deleted or anonymised.
  • Financial and tax records — retained for the minimum period required by law (typically six years in the UK).

08Your rights

Under UK GDPR and comparable laws, you have the following rights in relation to your personal data:

  • Access — receive a copy of the personal data we hold about you.
  • Rectification — have inaccurate data corrected.
  • Erasure — have your data deleted where we no longer have a lawful basis to retain it.
  • Restriction — pause processing in certain circumstances.
  • Portability — receive a copy of data you provided to us in a structured, machine-readable format.
  • Objection — object to processing based on legitimate interests or direct marketing.
  • Withdraw consent — at any time, where processing was based on consent.
  • Complain— lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk. If you are based outside the UK, you may have the right to complain to your local supervisory authority.

To exercise any right, email hello@traide.us and we will respond within one month (we aim for one week).

09Additional rights for US residents

If you are a resident of California, Virginia, Colorado, Connecticut, Utah, or another US state with consumer privacy legislation, you may have additional rights including the right to know what personal information is collected, the right to request deletion, the right to correct inaccurate information, and the right to opt out of the sale or sharing of personal information. We do not sell personal information. To exercise these rights, email hello@traide.us.

10Cookies and tracking

Our own website is cookie-light. Plausible Analytics does not set cookies or track individuals. The only cookies set on traide.us are strictly functional:

  • cookies set by the embedded GoHighLevel intake form (for session integrity and anti-spam);
  • cookies set by embedded Calendly widgets (only if you open a scheduling widget).

You can manage cookies through your browser settings. Blocking functional cookies may prevent the intake form from submitting correctly.

11Security

We use reasonable technical and organisational measures to protect personal data, including TLS encryption in transit, access controls, least-privilege principles for staff access, and vetted sub-processors with SOC 2 or equivalent attestations where available. No system is perfectly secure; if we become aware of a personal data breach that affects you, we will notify you and, where required, the ICO without undue delay.

12Children

TRAIDE is a business-to-business service and is not directed at children. We do not knowingly collect data from anyone under 18. If you believe a minor has provided personal data to us, please contact us so we can delete it.

13Changes to this policy

We may update this policy from time to time. Material changes will be reflected by an updated "last updated" date at the top of this page and, where appropriate, notified to active clients by email. Your continued use of the Service after changes take effect constitutes acceptance.
